The yard stops being a black box

Everything that happens away from a desk — dispatch, returns, inspections, signatures, meter readings, charges — captured where it happens, by the person who did it, against the order it belongs to.

The pitch

Six things that stop happening in week one

None of this is about giving your team another app to check. It is about the office no longer having to ring somebody to find out what happened.

  • The 4pm phone call

“Did the excavator go out?” Dispatch is confirmed on the app the moment it leaves, with the meter reading and a signature, so the office already knows.

  • The damage argument

Condition is photographed at dispatch and again at return, against the same unit. A new dent has a timestamp, an image and a name — so the conversation is about the repair, not about who is lying.

  • The paperwork that never arrives

Signed handover notes, meter readings and site photos stop living in a driver’s glovebox. They attach to the order as they happen.

  • The item nobody can find

Scan the label and you have the unit: where it is, which job it is on, when it is due back and what it was last inspected for.

  • The charge you forgot to raise

Extra days, fuel, a broken attachment, a late return — added from the app while the crew is still on site, not remembered at month end.

  • The double-booked machine

The person allocating stock sees the same live availability as the office. If two jobs want the same unit, it shows before anyone promises it.

Inspections

Prove the condition, not the argument

The single feature that pays for itself: the same checklist run at dispatch and at return, photographed both times, against the same unit.

Before and after

Two photographs, one timestamp apart, and the conversation is over

At dispatch the crew photographs the unit and completes your checklist. At return they run the same checklist again. Anything new sits side by side with how it left — with the time, the person and the images attached to the order.

  • Same checklist at dispatch and at return
  • Condition photos stored against the unit, not a camera roll
  • New damage flagged against how it went out
  • Charge raised on the order and settled from the deposit

Conflict resolution

Catch the clash at the point of allocation, and fix it there

The app reads the same availability the office does. When two jobs want the same unit, the person about to allocate it sees the shortage and the competing orders — while there is still a choice to make.

  • Confirmed and pending counted together
  • Competing orders named, not just a warning
  • Swap to an alternative from the same category
  • Sub-rent to cover the gap, or move the dates

Scan & dispatch

The camera is the scanner

Scan a label to look the unit up, pick it against a job, dispatch it, or check it back in. Every scan records who handled the item and when — so “who had it last?” has an answer instead of a theory.

  • Scan to pick, pack, load and check in
  • Every scan timestamped against a person
  • Bulk label printing for new stock
  • Missing components flagged at check-in

The day

One screen your crew opens, and nothing else

Dispatches, collections and returns in order, with what is overdue pushed to the top. Drivers do not navigate a system; they work through a list and the system keeps up.

  • Today’s movements in order, with addresses
  • Overdue surfaced before it is forgotten

Capabilities

What the app does

  • Works where the signal does not

Capture a dispatch, an inspection or a signature underground or on a site with no bars; it syncs when the phone reconnects.

  • Barcode and QR scanning

Scan to look up an asset, pick against a job, dispatch it or check it back in — the phone camera is the scanner.

  • Photos against the record

Condition images attach to the unit and the order, not to a camera roll, so they are there when a claim is made.

  • Signatures on the glass

The customer signs the handover or the agreement on the phone, OTP-verified where you need it to stand up later.

  • Routes for the day

Deliveries and collections in order, with site addresses, access notes and the contact to call on arrival.

  • Meter and usage readings

Hours or kilometres captured at dispatch and return feed metered billing, so the invoice matches the machine.

  • Charges from the field

Add fuel, damage, extra days or a delivery charge to the order while the crew is still there.

  • Role-based access

A driver sees their route; a supervisor sees the yard. The app respects the same permissions as the web portal.

FAQ

Mobile app questions

What operations teams ask before putting it in the yard.

Something else? or email sales@rentablez.com.

What can the crew actually do on the app?

Run the day’s dispatches and collections, check live availability, scan assets in and out, complete inspections with photos, capture meter readings, take a signature, collect a payment or deposit, add a charge to the order, and raise a fault that becomes a maintenance job.

Does the inspection really compare dispatch to return?

Yes. The dispatch inspection stores condition photos and check results against that unit and order. At return the same checklist runs again, so the two sets sit side by side and any new damage is visible with the time, the checker and the images attached.

What happens when a defect is found?

The defect is recorded against the unit, a charge can be raised on the order and settled from the deposit, and the item can be sent to a maintenance job — which blocks it from being allocated again until the job card is closed.

How does the app help with double bookings?

It reads the same availability the office does, counting confirmed orders, pending quotes and anything held in maintenance. If a unit is short for the dates, it shows at the point of allocation, with the competing jobs named, so it can be resolved before a promise is made.

Does it work without a network?

Yes. Field actions can be captured offline and sync when the device reconnects, which matters on basements, remote sites and rural routes.

Which platforms are supported?

Native apps for iOS and Android, using the same account and permissions as the web portal. Staff see only what their role allows.

Can customers use the app too?

The app is for your team. Customers get the web store to browse and book, and the customer portal for their orders, invoices and agreements.

Is the app included in my plan?

The mobile app is included from the Growth plan and above, using your existing users and permissions.
